Add as preferred sourceA lead fills in a form at 9:40 pm. The sales team sees it the next morning, calls at 11, and the prospect has already spoken to two competitors. During the day, the same team spends hours asking every enquirer the same five questions. An AI call assistant is built for exactly this gap: it answers or places calls, holds a natural spoken conversation, captures the details your team needs and passes the right conversations to a person.
This guide explains what an AI call assistant is, how it works, where it helps and where it does not, what it costs, how to evaluate one with a structured pilot, and what Indian businesses need to know about TRAI and data protection rules. It includes a detailed section for real estate teams, the industry Zappio works with most, and a scorecard you can use to compare vendors.

An AI call assistant is software that answers or places phone calls and holds a spoken conversation using speech recognition, a language model and a synthetic voice. It collects information, answers routine questions and takes an action, such as booking an appointment, transferring to a person or updating a CRM.
You will see the same category described as an AI calling assistant, AI phone assistant, AI voice agent or AI receptionist. The labels overlap. In practice, "AI receptionist" usually means inbound answering for a small business, while "AI voice agent" or "AI calling agent" often includes outbound calling and sales workflows.
| AI call assistant | Traditional IVR | Human receptionist | Text chatbot | |
|---|---|---|---|---|
| How callers interact | Speak naturally | Press keys or say fixed words | Speak naturally | Type |
| Handles open-ended answers | Yes, within its configured scope | No | Yes | Yes, in text |
| Places outbound calls | Often | Rarely (broadcast only) | Yes | No |
| Judgment on unusual situations | Limited | None | High | Limited |
| Availability | Any hour, many calls at once | Any hour | Working hours, one call at a time | Any hour |
| Writes structured data to CRM | Yes, when integrated | Basic | Manually | Yes, when integrated |
Two things are true at once. Speed matters: a lead called while the enquiry is fresh is easier to reach than one called the next day, and most teams cannot staff phones around the clock. But callers are wary. In a Gartner survey of 5,728 customers, 64% said they would prefer companies did not use AI for customer service, and the top concern was that it would be harder to reach a person. The practical lesson: deploy an AI call assistant to remove delay and repetition, and make reaching a human easy.
Every AI call assistant runs the same loop, whatever the vendor. The middle three stages repeat on every turn of the conversation, which is why speed at each stage determines whether the call feels natural.
A customer calls your number, or the system places an outbound call to someone who has enquired or consented, often triggered by a form, ad lead or CRM event.
The system identifies the campaign or number and loads the script, questions, knowledge and rules for that call type, plus anything already known about the caller.
Speech recognition converts the caller's words to text, and a language model interprets intent within the boundaries the business has set.
Text-to-speech speaks the response. Good systems let callers interrupt and adjust instead of finishing a pre-set sentence.
Answers are stored as structured fields, such as budget, preferred date or order number, and the assistant decides whether the goal is met.
It books a slot, transfers or routes the lead to a person, sends a follow-up, or ends the call, depending on what is supported and configured.
A recording, transcript, summary and disposition are saved to the CRM or dashboard for follow-up and reporting.
The table separates what is common across the industry from what we have verified on Zappio's own product pages as of October 2026. Every feature also has a limitation worth testing.
| Feature | Problem it solves | Limitation to test | Zappio (verified) |
|---|---|---|---|
| Natural voice conversation | Callers speak normally instead of navigating menus | Pauses, interruptions, unusual phrasing | Yes |
| Inbound call handling | Missed and after-hours calls | Out-of-scope questions | Yes, 24/7 |
| Outbound calling | Slow callbacks to new leads | Consent and TRAI rules apply | Yes, calls leads as they arrive |
| Lead qualification | Same questions asked manually on every call | Vague or partial answers | Yes, custom questions and branching |
| Appointment / site-visit booking | Back-and-forth to fix a time | Reschedules and cancellations | Yes, calendar sync |
| Multilingual conversation | Callers who prefer Hindi or a regional language | Accent and code-switch accuracy | Hindi, English, Hinglish; 5 regional languages on Growth and Enterprise |
| Human escalation | Complex or high-intent callers | Transfer method and context passed | Yes, routes hot leads with call context |
| Follow-up automation | Leads that do not answer the first call | Over-calling and opt-outs | Yes, retries plus WhatsApp follow-up |
| Feature | Problem it solves | Limitation to test | Zappio (verified) |
|---|---|---|---|
| Call recording and transcript | No record of what was said | Recording disclosure and retention | Yes |
| AI call summary | Reps re-listening to whole calls | Summaries can omit nuance | Yes (not on Pay As You Go) |
| CRM integration | Manual data entry, lost leads | Field mapping, duplicates | HubSpot, Salesforce, Zoho CRM, Freshsales, LeadSquared; webhook/REST |
| Automation tools | Connecting non-native systems | Error handling on failed syncs | Zapier, Make, n8n |
| Analytics | No visibility into call outcomes | Metric definitions vary by vendor | Yes; advanced analytics on Growth |

Search results for "AI call assistant" mix four very different products. Knowing which type you need narrows the shortlist faster than any feature list.
Built into phones or sold as apps, these screen unknown callers and transcribe them for one person. Examples include Google's Call Screen on Pixel phones and Apple's Call Screening on iPhone, as Allo's 2026 round-up describes. They are not designed for business lead handling.
Cloud phone and contact-centre platforms such as Aircall, RingCentral, Dialpad and Zoom add AI answering, transcription and summaries to their existing phone systems. They suit teams already on that platform and are mostly inbound-focused. Zoom's guide for contact-centre managers is a good example of this inbound, support-led view.
Vapi, Retell AI, Bland AI and Synthflow provide building blocks for teams that want to design their own agents. Pricing is typically per minute and varies with the models chosen; Retell, for example, lists voice agents at $0.07 to $0.31 per minute depending on configuration. Flexibility is high, but your team owns prompt design, telephony setup, testing and integrations. Our Vapi vs Retell vs Bland comparison covers the trade-offs in detail.
These combine the voice agent, telephony, lead intake, qualification logic, CRM sync and reporting in one product for a business workflow. Zappio sits here: it is configured around calling, qualifying and following up leads across voice and WhatsApp, rather than being a toolkit you assemble.

The assistant can call a new enquiry as soon as it arrives, instead of when a rep next checks the CRM. This matters most for paid leads from ads and portals, where the same person often enquires with several businesses.
Every lead is asked the same core questions in the same order, so lead records are comparable and nothing is skipped on a busy day. That consistency also makes it easier to see which lead sources produce serious buyers.
Evening, weekend and holiday enquiries get an immediate response, and peaks such as a campaign launch do not create a backlog because calls run in parallel.
Salespeople spend their time on conversations that need judgment: negotiations, objections, follow-ups with warm prospects. The first-contact screening work moves to the assistant.
Recordings, transcripts, summaries and dispositions turn calls into data. Managers can see why leads did not convert instead of relying on memory or incomplete notes.
Results depend on lead quality, workflow design, caller consent, language fit, telephony quality and how well the handoff to humans works. Treat vendor benchmarks, including ours, as hypotheses to test in your own pilot.
| Industry | Good fit for the assistant | Keep with humans |
|---|---|---|
| Real estate | Enquiry callbacks, qualification, site-visit booking and reminders | Negotiation, pricing exceptions, inventory advice |
| Healthcare administration | Appointment booking, reminders, rescheduling | Any clinical question, triage or medical advice |
| Education and admissions | Enquiry callbacks, counselling-session booking, document reminders | Course advice for individual circumstances |
| Retail and e-commerce support | Order status, delivery and return queries | Disputes, complaints, refunds needing judgment |
| Financial services (where permitted) | Appointment setting, document collection reminders | Credit decisions, suitability advice |
| Home and local services | Booking jobs, collecting address and issue details | Quotes for unusual jobs |
Where revenue depends on calling leads quickly, the assistant handles first contact and qualification. Zappio also has dedicated pages for banking, insurance, edtech and e-commerce workflows.
In healthcare, lending and insurance, use the assistant for administration and scheduling only. It should never independently make clinical, credit or other high-impact decisions, and sector rules on recording and data handling apply on top of the general rules covered below.
Real estate is one of the clearest fits. Leads arrive from portals, Meta and Google ads and websites, often in bursts around a launch, and most of them need the same first conversation before a salesperson can add value.
The assistant calls a lead from 99acres, MagicBricks, Housing.com, a Meta lead form or your website as soon as it lands, and references the project the lead enquired about. On Zappio, portal and ad integrations are part of the Growth plan; CSV and website-form intake are available on Starter.
When the lead is interested, the assistant offers available visit slots from the sales team's calendar, confirms one and follows up with reminders. Test what happens when the lead wants to bring family on a different day, because rescheduling is where many booking flows break.
Every answer is written to the CRM, and leads that meet your criteria are routed to the right salesperson with the transcript and summary, so the rep's first sentence builds on the conversation instead of repeating it. Our CRM integration guide walks through field mapping.
Illustrative example — not a real customer conversation
Assistant:Hi, this is the property assistant calling for Sharma Realty about your enquiry for a 2 BHK in Sector 82. Is now a good time for two minutes?
Prospect:Haan, bol dijiye. Quickly please.
Assistant:Of course. What budget are you considering for the 2 BHK?
Prospect:Around 1.2 crore, thoda flexible.
Assistant:Got it, around 1.2 crore with some flexibility. Are you looking for ready-to-move, or is under-construction fine?
Prospect:Ready to move would be better, we want to shift within a year.
Assistant:Thanks. Would you like to see a few options in person? Our team has slots this Saturday at 11 am or Sunday at 4 pm.
Prospect:Saturday 11 works. Will the price be negotiable?
Assistant:Pricing discussions are handled by our sales manager, who will call you before the visit. I've booked Saturday at 11 am and you'll get the details on WhatsApp. Thank you!
Note what the assistant did not do: it did not negotiate or promise a discount. It captured budget, configuration, possession preference and visit time, then handed the price question to a person.
Negotiations, inventory recommendations, site visits themselves, loan and legal questions, and long-term relationship building stay with people. The assistant's job is to make sure those people spend their time on leads that are ready for them.

| Factor | AI call assistant | Traditional IVR | Human calling team |
|---|---|---|---|
| Conversation flexibility | High within its scope | Low | Highest |
| Repetitive task handling | Strong, does not tire | Strong for fixed menus | Quality drops with volume and fatigue |
| Availability | Any hour, parallel calls | Any hour | Shift-based, one call per person |
| Context collection | Structured fields every call | Key presses only | Varies by person |
| Personal judgment | Limited | None | Strong |
| Complex objections | Weak; should escalate | Cannot handle | Strong |
| Setup | Script, knowledge, integrations, testing | Menu tree and routing | Hiring and training |
| Cost model | Per minute or per call plus platform fee | Usually low and fixed | Salaries, incentives, management time |
| Human escalation | Must be designed and tested | Route to queue | Native |
If callers only need to reach one of three departments, a short IVR menu is cheaper and perfectly predictable. Upgrade to an AI call assistant when callers need to explain something, or when you want structured data from the call. Our AI voice agent vs IVR article goes deeper.
High-value negotiations, upset customers, sensitive personal situations and anything that needs discretion belong with people. A well-designed assistant recognises these moments and hands over early.
| Area | What to check |
|---|---|
| Voice quality | Does it sound clear on a weak mobile connection, not only in a demo? |
| Languages and accents | Which languages are included in your plan? How does it handle Hinglish and regional accents? |
| Response latency | Is the pause after you stop speaking short enough that callers do not repeat themselves? |
| Inbound and outbound | Does it support both, and from which number series? |
| Workflow customisation | Can you set your own questions, branching and routing rules without a developer? |
| CRM integrations | Native connector for your CRM, or webhook only? Who maintains field mapping? |
| Escalation | Live transfer, post-call routing, or both? What context reaches the rep? |
| Analytics | Can you export call-level data, not only dashboard charts? |
| Pricing transparency | Which calls are billable? Are unanswered calls charged? What is included in the rate? |
| Telephony charges | Are numbers and call charges included or billed separately? |
| Security and data | Where are recordings stored, for how long, and who can access them? |
| Consent and compliance | How are opt-outs, DND preferences and A2P declarations handled? |
| Support and reliability | Uptime commitments, support channels and response times. |
| Deployment | How long to go live, and who writes and tests the first script? |
Score each shortlisted product from 1 to 5 on eight criteria, weight each criterion by how much it matters to you, and compare weighted totals. Weights must add up to 100.
| Criterion | Example weight: real estate brokerage | Example weight: clinic front desk |
|---|---|---|
| Voice and conversation quality | 20 | 20 |
| Workflow fit (qualification, booking) | 15 | 20 |
| Language support | 15 | 10 |
| CRM connectivity | 15 | 5 |
| Reliability | 10 | 15 |
| Human escalation | 10 | 15 |
| Compliance readiness | 5 | 10 |
| Total cost of ownership | 10 | 5 |
Weighted score formula
Weighted score (out of 100) = Σ (score out of 5 ÷ 5 × weight)
Example: a product scoring 4 on voice quality with a weight of 20 contributes 4 ÷ 5 × 20 = 16 points. Score from your own test calls, not from the vendor's demo.
Suggested acceptance criteria (set your own): every request for a human is honoured, every opt-out is recorded, a CRM record exists for every connected call, captured fields match the recording on the large majority of reviewed calls, and reviewers judge the pauses acceptable.
Monthly cost and cost per qualified lead
Monthly cost = (base fee + billable minutes × rate per minute + other fees) × (1 + GST)
Cost per qualified lead = monthly cost ÷ qualified leads
Zappio's pricing page (checked October 2026) lists Pay As You Go at ₹0 per month and ₹7 per connected minute, Starter at ₹2,499 per month and ₹5 per minute, and Growth at ₹4,999 per month and ₹4.50 per minute. Prices exclude 18% GST, unanswered, busy and failed calls are not charged, and the call rate covers voice, AI processing, transcription and recording.
Hypothetical assumptions, not a quote: 1,000 new leads a month produce 650 connected calls averaging 2.5 minutes, so 1,625 billable minutes, and 200 leads are qualified.
| Plan | Before GST | Including 18% GST | Cost per qualified lead |
|---|---|---|---|
| Pay As You Go | ₹11,375 | ₹13,422.50 | ₹67.11 |
| Starter | ₹10,624 | ₹12,536.32 | ₹62.68 |
| Growth | ₹12,311.50 | ₹14,527.57 | ₹72.64 |
At this volume Starter is the cheapest on cost alone. On these published rates, Starter becomes cheaper than Pay As You Go above roughly 1,250 billable minutes a month, and Growth becomes cheaper than Starter above 5,000 minutes. Plans also differ in features, such as concurrent calls, portal integrations and API access, so choose on workflow needs first. Prices change; always confirm on the pricing page.
Calculate your current cost per qualified lead the same way: (fully loaded monthly cost of the people making first-contact calls + telephony + tools) ÷ qualified leads. Use your own numbers. The useful comparison is cost per qualified lead and, further down the funnel, cost per site visit or appointment attended.
| Challenge | What happens | Mitigation |
|---|---|---|
| Speech recognition errors | Wrong values captured | Read back key answers; review recordings weekly |
| Regional accents, noise | Repeated questions, frustration | Test with real callers; offer language choice early |
| Latency and interruptions | Callers talk over the assistant or hang up | Test barge-in; keep replies short |
| Unusual or complex questions | Wrong or invented answers | Restrict scope; escalate instead of guessing |
| Unanswered or unwanted calls | Wasted attempts, complaints | Call only consented leads; cap retries; honour opt-outs |
| Customer trust | Callers disengage | Say it is an automated assistant; make reaching a person easy |
| Privacy and recording | Legal and reputational risk | Disclose recording; limit retention and access |
| Integration complexity | Missing or duplicate CRM records | Test field mapping and failure alerts before launch |
Language models can produce fluent answers that are wrong. For prices, availability, legal status and possession dates, the assistant should only state facts from an approved knowledge source, and say a person will confirm everything else.
Define triggers for handoff, such as a direct request, repeated misunderstanding, frustration or a high-value signal, and decide what context reaches the person. Our article on human fallback triggers covers patterns in detail.
This section summarises official sources as checked on 20 October 2026. It is general information, not legal advice. Rules differ by call type, so confirm your obligations with your telecom provider and legal counsel.
Commercial calls in India are governed by the Telecom Commercial Communications Customer Preference Regulations (TCCCPR), 2018. TRAI's February 2025 amendment keeps promotional calls on the 140 series, designates the 1600 series for transactional and service calls, bars senders from seeking consent again within 90 days of an opt-out, and triggers action against a sender after five complaints in ten days, with penalties ranging from suspension of outgoing services to disconnection and blacklisting for repeat violations.
On 18 September 2026, TRAI announced the TCCCPR (Third Amendment) Regulations, 2026. It defines application-to-person (A2P) calls as calls initiated by an application, software system or automated platform without direct human dialling, including artificial voice technology. Entities using A2P calls must declare this to their telecom service provider in advance, along with the caller IDs they will use; undeclared A2P calls are treated as unsolicited commercial communication. Check the notified regulation for effective dates.
The Digital Personal Data Protection Act, 2023 applies to the names, numbers, recordings and transcripts an AI call assistant handles. MeitY notified the DPDP Rules on 13 November 2025 with a phased rollout: consent-manager provisions from 13 November 2026, and the core obligations on notice, consent, data principal rights and breach reporting from 13 May 2027. Consent notices must itemise the data collected and the purpose. Our DPDP Act guide for AI calling covers practical steps.
Rules differ by country. In the United States, for example, the FCC has ruled that AI-generated voices are "artificial" under the Telephone Consumer Protection Act, so consent rules for artificial voice calls apply. If you call NRI leads abroad, check the destination country's rules.
Zappio is an AI voice-calling and lead-conversion platform. Based on its product pages as of October 2026, it:
Your lead sources and CRM stay as they are. Zappio sits between them: a new lead triggers a call, the answers are written back to the CRM, and qualified leads go to your salespeople, who handle negotiations, visits and closing. Zappio works across industries, with a particular depth in real estate.
Pick one call type with clear success criteria, such as calling back new enquiries. Expand after it works, not before.
Short sentences, one question at a time, and confirmations that read back the caller's answer. Long, written-style sentences sound unnatural when spoken.
Dashboards hide problems that recordings reveal. Ten minutes of listening each week catches misheard answers and awkward phrasing early.
An AI call assistant is worth adopting when you miss calls, call leads back too slowly, or spend too much of your team's time on repetitive first conversations. It works best when it is attached to a clear workflow, tested against your real callers, connected to your CRM and backed by fast, easy escalation to a person. Score vendors on your own test calls, run a controlled pilot against a baseline, and stay within consent and TRAI rules.
If your team handles inbound enquiries or paid leads and wants faster, more consistent first contact, book a Zappio demo to discuss an AI calling workflow for your team, or compare plans on the pricing page.
