Why WhatsApp Sits at the Centre of Property Sales Conversations

A buyer fills in an enquiry form for a 3BHK at 9:40 on a Tuesday night. Your best consultant is finishing a site visit across town, two other enquiries are already waiting, and by the time anyone replies the next morning, the buyer has spoken to three other brokers. WhatsApp for real estate is about closing that gap: using WhatsApp to respond to property enquiries, share the right details, understand what the buyer needs, organise site visits and keep follow-ups on track, without losing the human judgement that actually sells property.

This guide explains the difference between the WhatsApp Business App and the WhatsApp Business Platform, how to generate and qualify leads, a follow-up framework, 12 message templates you can adapt, what can and cannot be automated, how WhatsApp fits alongside AI calling and a CRM, the consent and pricing rules that changed in 2026, and the metrics that show whether any of it is working. The short version: get permission, reply quickly with useful information, ask a few questions at a time, record every answer, and hand serious buyers to a person.

What Is WhatsApp for Real Estate?

Definition

WhatsApp for real estate is the use of WhatsApp, through the WhatsApp Business App or the WhatsApp Business Platform, to manage communication with property buyers, tenants, sellers and channel partners across the sales cycle, from first enquiry to site visit, booking and after-sales updates. For a solo broker that may simply mean a business profile and saved replies on one phone. For a developer with a sales team it usually means a shared number connected to software, approved message templates, a CRM and some automation.

Why It Matters for Property Sales

Property decisions involve a lot of material: floor plans, price sheets, location pins, walkthrough videos, payment plans and legal documents. Buyers also compare several projects at once and rarely decide in one call. WhatsApp suits that pattern because it keeps the whole exchange in one written thread the buyer can scroll back through. The risk is the opposite side of the same coin: when conversations live on consultants' personal phones, the business loses the history the moment someone leaves, and nobody can see which leads were never answered.

Key Use Cases

  • Responding to property enquiries from portals, ads, your website and referrals
  • Sharing brochures, photos, walkthrough videos, cost sheets and location pins
  • Understanding requirements: location, budget, BHK, possession timeline
  • Answering common questions about amenities, loans, possession and documentation
  • Arranging site visits and sending confirmations and reminders
  • Following up after visits and re-engaging buyers who went quiet
  • Coordinating between pre-sales, sales, site managers and channel partners
  • Post-booking updates such as payment reminders and construction progress

WhatsApp Business App vs WhatsApp Business Platform

Many articles use "WhatsApp Business" to mean three different products. Mixing them up leads to wrong expectations about automation, team access and cost, so it helps to separate them first.

WhatsApp Messenger

The personal app. Plenty of brokers still run their business from it, but it has no business profile, no business tools and no way to give a team shared access. It is the setup most likely to lose leads.

WhatsApp Business App

A free app from WhatsApp for small businesses. It adds a business profile and business tools such as a catalogue, quick replies, labels, and greeting and away messages. One number runs on a phone plus a small number of linked devices. Messages are sent by people, broadcast lists only reach contacts who have saved your number, and there is no direct CRM integration or programmable automation. For an individual consultant handling a manageable number of enquiries, it is often enough.

WhatsApp Business Platform

Meta's platform for medium and large businesses, accessed through the WhatsApp Cloud API either directly by developers or, more commonly, through a business solution provider that adds an inbox, templates, automation and integrations. This is what people usually mean by the "WhatsApp Business API". It supports many agents on one number, CRM and webhook integration, and business-initiated messages through Meta-approved templates. It also comes with per-message charges, template reviews, messaging limits and policy obligations. Our WhatsApp Business API guide covers setup in detail.

You may not have to choose. Meta's coexistence onboarding lets a business keep using the WhatsApp Business App on its phone while the same number is connected to the Cloud API through a partner. Some app features change when you do this; for example, broadcast lists in the app are disabled and group chats are not synced.

How Does WhatsApp Work in a Real Estate Sales Process?

On the Business Platform, a few rules shape every real estate workflow. Understanding them prevents most of the frustration teams run into after going live.

Step 1: The Buyer Starts the Chat or Gives Permission

Either the buyer messages you (from a website button, QR code or ad), or they agree to receive WhatsApp messages from your business, for example by ticking a clearly worded box on an enquiry form. Meta's consent guidance for WhatsApp says the business must clearly state that the person is opting in to receive messages and must name the business they will come from.

Step 2: Reply Freely Inside the 24-Hour Window

When a buyer messages or calls you on WhatsApp, a 24-hour customer service window opens, and each new message from them resets it. Inside that window your team can send normal, free-form replies: text, photos, brochures, videos and location pins.

Step 3: Use Approved Templates Outside the Window

Once the window closes, template messages are the only type you can send to restart the conversation. Templates are reviewed by Meta and fall into marketing, utility or authentication categories. A site-visit reminder and a new-launch announcement are not treated the same way, and Meta decides the category during review.

Step 4: Record the Outcome Where the Team Can See It

Every reply, requirement and visit outcome should land in a CRM or lead management system. Without this step, WhatsApp becomes a set of private conversations rather than a sales process.

Benefits of WhatsApp for Real Estate Agents

Communication on a Channel Buyers Already Use

Buyers can reply when it suits them, between meetings or late at night, without having to take a call they are not ready for. That lowers the effort of staying in touch.

Richer Property Information in One Thread

Floor plans, walkthrough videos and location pins sit in one place the buyer can return to, which is far easier than searching through emails or remembering what was said on a call.

Faster Responses and Organised Follow-Ups

With templates, assignment rules and reminders, a team can acknowledge eligible enquiries quickly and keep track of who needs a follow-up and when. Speed matters most in the first hours after an enquiry; our article on how AI lead qualification works looks at that early window in more detail.

Easier Site-Visit Coordination

Confirmations, reminders, location pins and the site contact's details can all go to the buyer in one place, and rescheduling becomes a reply rather than a missed call.

Better Visibility for Managers

When WhatsApp runs through a shared inbox connected to a CRM, managers can see response times, unanswered chats and which sources produce serious buyers. That visibility does not exist when conversations live on personal phones.

⚠️

Delivered is not interested. Message delivery does not mean the buyer read, understood or acted on it. Judge WhatsApp by replies, qualified leads and site visits, not by messages sent.

How to Generate Real Estate Leads Through WhatsApp

The best WhatsApp leads are buyers who start the conversation themselves. Each method below has a user journey and a clear next step for the team.

Website and Landing Page Buttons

A "Chat on WhatsApp" button on each project page opens a chat with a pre-filled message such as "I'm interested in {project_name}". Because the message names the project, the consultant can reply with the right brochure immediately instead of asking which property the buyer meant.

Click-to-WhatsApp Ads

Meta ads can open a WhatsApp chat instead of a form. According to Meta's pricing documentation, a reply to a user who messaged from one of these ads opens a free entry point window in which messages are not charged (Meta Business Agent messages excepted). The catch is volume: ad chats arrive in bursts, so you need an instant first reply and a fast route to a person.

QR Codes at Sites, Events and Hoardings

A QR code at the site office, on a hoarding or at a property expo lets a walk-in buyer start a chat in seconds. Use a different pre-filled message per location so you know which source produced the lead.

Property Listings and Social Profiles

Add your WhatsApp link to listing pages, your Instagram and Facebook profiles and your Google Business Profile. Reply to these enquiries with the specific listing, not a generic introduction.

Referrals and Past Customers

Past buyers who had a good experience often forward your number. When a referral messages you, mention who referred them and ask what they are looking for.

🚫

Avoid purchased lists and unsolicited bulk messages. They break Meta's opt-in expectations, lead to blocks and reports, and Meta can rate-limit businesses whose quality stays low. Every acquisition campaign must also comply with applicable law.

WhatsApp Lead Qualification for Real Estate

What to Learn From Each Buyer

DetailWhy it matters
Preferred locationFilters projects before you send anything
Property type and BHKApartment, builder floor, villa, plot or commercial; size drives price
Budget rangeStops you sending options the buyer cannot consider
Ready-to-move or under constructionChanges the projects, the loan conversation and the timeline
Purchase timelineSeparates buyers deciding this month from those deciding next year
Buy or rent, end use or investmentChanges what information is relevant
Financing, when relevantWhether a home loan is needed, without asking for financial details
Best time for a call or visitLets the next step happen on the buyer's terms

Ask in Stages, Not All at Once

A ten-question form pasted into a chat feels like an interrogation. Ask two questions, give something useful back, then ask the next two. Buttons or list options (on the Business Platform) make answers faster for the buyer and cleaner for your CRM.

Sample Qualification Conversation

Illustrative example

Buyer:Hi, saw your ad for the Sector 150 project. Is the 3BHK still available?

Consultant:Hi Rohit, thanks for reaching out. Yes, 3BHK units are available. To check the right ones, is this for your family or an investment?

Buyer:For my family. We're moving from Delhi.

Consultant:Got it. Do you need ready-to-move, or is possession in about two years okay? And roughly what budget should I keep in mind?

Buyer:Ready or within a year. Around 1.2 Cr.

Consultant:That narrows it to two towers. Sharing both floor plans and the location pin now. Would Saturday morning or Sunday afternoon suit you for a visit?

Buyer:Saturday, 11 works.

Notice what the consultant did not do: no pressure, no long form, no invented urgency. Each question earned the next piece of useful information, and the conversation ended with a concrete next step.

Record Answers in Your CRM

Where your WhatsApp provider and CRM are integrated, map each answer to a field: location, budget, BHK, timeline, visit date. If they are not integrated, the consultant updates the CRM manually after the chat. Either way, the next person who speaks to the buyer should never ask the same question twice. Our CRM integration guide explains field mapping in more depth.

WhatsApp Follow-Up Strategy for Property Buyers

Good follow-up is about relevance and timing, not frequency. The framework below maps each stage to a purpose. The timings are suggestions to adapt to your buyers, not rules.

StagePurposeSuggested timingWhat the message should achieve
New enquiryAcknowledge and confirm the channelWithin minutesBuyer knows a real business received the enquiry
Requirement gatheringUnderstand needsSame conversationLocation, budget, BHK and timeline captured
Property optionsShare two or three relevant matchesOnce requirements are clearBuyer sees options that fit
More details requestedAnswer the specific questionSame dayQuestion resolved with a document or fact
Visit bookedConfirm the detailsImmediatelyDate, time, address and contact in one message
Visit reminderReduce no-showsDay before or few hours beforeBuyer confirms or reschedules
After the visitCollect feedbackSame evening or next morningBuyer's reaction and next step
Re-engagementCheck if needs changedAfter an interval the buyer acceptedBuyer chooses to continue or pause
Closing the loopEnd respectfullyWhen the buyer opts out or buys elsewhereRecord updated; no further messages

Before the Site Visit

The goal before a visit is confidence: the buyer should know exactly where to go, who will meet them and what they will see. Send one confirmation when the visit is booked and one reminder. If the buyer reschedules, update the CRM immediately so nobody chases a visit that has moved.

After the Site Visit

Ask for their reaction before asking for a decision. A buyer who liked the location but not the layout needs a different next message from one who is comparing prices. Record the feedback; it is the most valuable data in your pipeline.

Re-Engaging and Closing the Loop

For buyers who went quiet, one relevant message after an interval they agreed to is reasonable. Repeated "just checking in" messages are not. If a buyer says stop, stop everywhere, including in automated sequences and broadcast lists. For a longer cadence after qualification, see our 30 day nurture cadence.

12 WhatsApp Message Templates for Real Estate

These are example messages to adapt, not pre-approved Meta templates. Anything you send outside the 24-hour customer service window must be submitted and approved as a template first, and Meta assigns the category during review. Replace every placeholder in curly braces, and never add urgency, discounts or availability claims you cannot verify.

1. New Property Enquiry Acknowledgement

When to use: Within minutes of a website, portal or ad enquiry, when the buyer has agreed to be contacted on WhatsApp.

Hi {buyer_name}, thanks for your enquiry about {project_name}. I'm {agent_name} from {agency_name}. I'll share the details you asked for shortly. Is WhatsApp the best place to reach you, or would you prefer a call?

Note: If the buyer has not messaged you first, this must go out as a Meta-approved template.

2. First Response to a Buyer Who Messaged You

When to use: The buyer started the chat (for example from a QR code or click-to-WhatsApp ad), so the 24-hour customer service window is open.

Hello {buyer_name}, happy to help. To send you options that actually fit, may I ask two quick questions about location and budget?

Note: Free-form reply inside the customer service window; no template needed.

3. Asking About Budget and Preferred Location

When to use: After the buyer agrees to share requirements. Ask two things, not ten.

Which areas are you considering, and roughly what budget range should I keep in mind? A range is fine, for example {budget_example}.

Note: Store the answer in your CRM so nobody asks again.

4. Sharing a Relevant Property Option

When to use: When a listing genuinely matches the stated location, budget and BHK.

Based on what you shared, {project_name} in {locality} may suit you: {bhk} from {price_range}, {possession_status}. Floor plan attached. Want me to check site-visit slots for this week?

Note: Confirm price and availability on the day you send it.

5. Sending a Brochure or Property Details

When to use: When the buyer asks for the brochure, price sheet or location pin.

Here is the {project_name} brochure and location pin. RERA registration: {rera_number}. Let me know which part you'd like explained, or if you'd like to see it in person.

Note: Include the RERA number where your state's rules require it in project advertising.

6. Confirming a Site Visit

When to use: Immediately after a visit is booked by phone, chat or AI call.

Your visit to {project_name} is confirmed for {visit_date} at {visit_time}. Address: {site_address}. {site_contact_name} ({site_contact_phone}) will meet you. Reply here if you need to change the time.

Note: Outside the 24-hour window, submit it as a template; Meta assigns the category during review.

7. Sending a Visit Reminder

When to use: The day before or a few hours before the visit.

Reminder: your visit to {project_name} is at {visit_time} {visit_day}. Here is the location pin again. If plans change, just reply and we'll find another slot.

Note: One reminder is helpful; three is noise.

8. Following Up After a Property Visit

When to use: The evening of the visit or the next morning.

Thanks for visiting {project_name} today, {buyer_name}. What did you think? If you'd like the cost sheet for {unit_type} or want to compare it with another option, I can send both.

Note: Ask for feedback before pushing for a decision.

9. Responding to a Request for More Information

When to use: When the buyer asks about loans, possession, maintenance or legal documents.

Good question. For {project_name}, {short_factual_answer}. I've attached {document_name}. For loan eligibility, our partner bank's representative can call you if you'd like; shall I arrange that?

Note: Answer only from approved, current information. Escalate anything you're unsure about.

10. Re-Engaging an Interested Prospect

When to use: Several weeks after a buyer went quiet, if they previously opted in and have not asked you to stop.

Hi {buyer_name}, you were looking at {bhk} options in {locality} earlier. A few new listings in your range are available now. Would you like me to share them, or should I check back later?

Note: Business-initiated, so it needs an approved template and an earlier opt-in from the buyer.

11. Handling a Buyer Who Is Not Ready Yet

When to use: The buyer says they are a few months away from deciding.

Understood, {buyer_name}. I'll keep your requirement noted. Would a short update once a month be useful, or would you rather contact me when you're ready?

Note: Let the buyer choose the cadence and record it.

12. Respectfully Closing a Conversation

When to use: The buyer has bought elsewhere, changed plans or asked you to stop.

Thanks for letting me know, {buyer_name}. I've closed your enquiry and won't send further updates. All the best with your new home. If you ever need help again, just message here.

Note: Mark the contact as opted out in every system that can message them.

WhatsApp Automation for Real Estate

Workflows Worth Automating

  • Acknowledging a new enquiry the moment it arrives
  • Assigning the lead to the right consultant by project, location or language
  • Collecting initial requirements with buttons or short questions
  • Answering routine questions from approved project information
  • Triggering a follow-up task when a buyer goes quiet
  • Sending visit confirmations and reminders
  • Escalating to a human when intent is high or a question is sensitive
  • Updating CRM records and recording message status

What Is Native and What Needs a Platform

CapabilityWhatsApp Business AppBusiness Platform plus provider or custom build
Greeting and away messagesYesYes
Quick replies and labelsYesYes, usually as saved replies and tags
Multi-step chatbot flowsNoYes
Automatic lead assignmentNoYes
Triggered follow-up sequencesNoYes, with approved templates
CRM updatesNoYes, through integration or webhooks
Delivery and read status at scalePer chat onlyYes, through webhooks and dashboards

Failure Handling and Human Oversight

Automation fails in predictable ways. Webhooks get missed and retried, which can create duplicate messages unless each send is checked against a unique ID. Templates get rejected or paused. A CRM field changes name and assignment silently breaks. Plan for these: log every automated send, alert someone when deliveries fail, limit who can edit flows, and make sure a buyer who types "talk to someone" reaches a person quickly. Automation can save your team hours; it does not guarantee bookings.

WhatsApp Chatbots vs AI Voice Agents for Real Estate

OptionBest atLimitationsUse it when
WhatsApp chatbotInstant replies, collecting structured answers, sharing documentsRigid if poorly designed; buyers may ignore textEnquiries need an immediate, consistent first response
Human on WhatsAppNuance, negotiation, trustLimited hours and capacityBuyer is qualified or the question is sensitive
AI voice agentConversational qualification, reaching buyers who don't reply to textCalls must be appropriate and compliant; some buyers prefer textYou need answers quickly and the buyer agreed to be called
CRM-based follow-upReminding the team who to contact and whenDepends on people acting on tasksYou have a team that needs structure

When Text Works Better

Sharing floor plans, cost sheets and location pins; confirming visits; giving the buyer something to review in their own time. Text is also a written record both sides can return to.

When a Voice Call Works Better

Understanding a buyer's real situation is often faster in a two-minute conversation than in twenty messages. A call also reaches buyers who submit an enquiry but never open WhatsApp. Our WhatsApp and voice calling comparison goes deeper into the trade-offs.

Using Both Without Overwhelming Buyers

Coordinate the channels from one record. If the buyer replied on WhatsApp, don't call them five minutes later to ask the same question. If a call went unanswered, a short WhatsApp message saying who called and why is more useful than another call.

How to Combine WhatsApp, AI Calling and a CRM

Here is an illustrative end-to-end workflow. What is possible in your setup depends on the CRM, voice agent, WhatsApp provider, integrations and configuration you use.

1

A property enquiry enters the lead management system from a portal, ad, website form or chat.

2

The system records the source and the contact preferences and consent the buyer gave.

3

A configured workflow sends an acknowledgement on the channel the buyer agreed to.

4

Where calling is appropriate, an AI voice agent makes a qualification call.

5

Answers, call outcome and transcript are written back to the lead record.

6

WhatsApp follow-ups go out through an authorised, properly configured provider: options, brochure, visit confirmation.

7

Qualified buyers are routed to a human consultant with the full history.

8

The consultant discusses details and books the site visit.

9

Visit outcome and next steps are recorded and trigger the right follow-up.

10

Managers review funnel metrics and adjust scripts, timing and routing.

StepsDepends on
1 to 2Lead source integrations and a CRM with consent fields
3 and 6WhatsApp Business Platform access, approved templates, a provider or custom integration
4 to 5An AI voice agent integrated with the CRM, plus compliance with calling rules
7 to 9Routing rules, a shared inbox and CRM tasks
10Reporting that joins channel data with visit and booking outcomes

WhatsApp for Real Estate in India

Residential Brokers and Channel Partners

Brokers and channel partners often juggle leads from several portals and several developers at once. A shared number with labels by project and source keeps that manageable, and it means the business, not an individual phone, owns the buyer relationship.

Developers and Sales Teams

Launches generate enquiry spikes that no pre-sales team can answer by hand. Developers typically need the Business Platform for instant acknowledgements, routing by tower or configuration, visit scheduling and post-booking updates such as payment reminders and construction progress.

Commercial Consultants and Rental Agents

Commercial enquiries tend to involve several stakeholders and longer cycles, so a clean written record of requirements matters. Rental conversations move fast and repeat the same questions about rent, deposit and availability, which makes them good candidates for quick replies and simple flows.

Hindi, English and Hinglish Conversations

Many buyers switch between Hindi and English mid-sentence. If you automate, test flows with real Hinglish messages, not just clean English. Where a tool supports regional languages, reply in the language the buyer uses rather than forcing English.

This section summarises official sources as checked in October 2026. Rules and prices change, so review the current versions before launching a campaign. It is general information, not legal advice.

Opt-In and Opt-Out

Meta requires that the opt-in clearly states the person is agreeing to receive messages and names your business. It accepts opt-ins collected on your website, by SMS, through an IVR flow or in person on paper, and asks businesses to give clear instructions for opting out of specific message categories. People can also block or report a business, and sustained low quality leads to rate limits.

Templates and Messaging Limits

Outside the 24-hour customer service window, only approved templates can be sent. Meta also applies messaging limits: a cap on how many unique users a business can message outside the service window in a rolling 24-hour period.

Pricing Changes From 1 October 2026

Meta charges per delivered message, by category, and does not charge for messages users send you. According to Meta's pricing page, from 1 October 2026 service messages are charged beyond a free tier of 1,000 per month for each business phone number, and utility templates sent inside an open service window are no longer free. Click-to-WhatsApp ad conversations still get a free entry point window. For rupee rates and examples, see the pricing section of our WhatsApp Business API guide, and confirm against Meta's current rate card.

India's Digital Personal Data Protection Rules

The Digital Personal Data Protection Rules, 2025 were notified on 13 November 2025, and their core obligations on notice, consent, security safeguards, breach reporting and data principal rights take effect on 13 May 2027, according to this Hogan Lovells summary. Consent under the Act must be free, specific, informed and unambiguous, and withdrawing it must be as easy as giving it. Real estate teams that start building those habits now will have less to change later.

RERA Disclosures and Calling Rules

Section 11(2) of the Real Estate (Regulation and Development) Act, 2016 requires promoters to include the project's RERA registration number and the authority's website address in advertisements, so check how your state authority applies that to WhatsApp promotions. Phone calls, including AI calls, fall under TRAI's commercial communication regulations; our AI call assistant guide summarises them.

Practical Compliance Checklist

  • Message only people who contacted you or gave clear permission
  • Name your business accurately in the profile and opt-in text
  • Honour opt-outs immediately, across every tool that can message the buyer
  • Avoid unsolicited bulk messages and purchased lists
  • Collect only the personal data you need; never ask for full ID or bank numbers on chat
  • Restrict who can export chats and contact lists
  • Review Meta's current policy and pricing before each new campaign type

Common WhatsApp Marketing Mistakes Real Estate Agents Make

Sending the Same Property to Every Lead

Fix: qualify first, then send two or three options that match location, budget and BHK.

Sending Too Many Follow-Ups

Fix: agree a cadence with the buyer and stop sequences automatically when they reply.

Sharing Outdated Property Information

Fix: keep one approved source for prices, availability and brochures, with a named owner who updates it.

Not Recording Buyer Preferences

Fix: map every answer to a CRM field so the next conversation starts where the last one ended.

Using Unapproved Messaging Methods

Fix: avoid unofficial bulk-sending tools; use the Business App or an authorised Business Platform provider.

Treating Delivered Messages as Interest

Fix: measure replies, qualified leads and visits instead of sends and deliveries.

Ignoring Requests to Stop

Fix: treat "stop", "not interested" and similar replies as opt-outs and suppress the contact everywhere.

Automating Every Interaction

Fix: automate acknowledgements, reminders and routine answers; keep negotiation and sensitive questions with people.

Sharing Customer Information Unnecessarily

Fix: don't forward buyer details to personal groups; share through the CRM with access controls.

Using Misleading Urgency or Claims

Fix: say "two units left" only if it is true today, and never invent offers or deadlines.

Delivered, Read, Replied, Qualified, Sold

These are five different events. A message can be delivered and never read; read and never answered; answered by someone who will never buy. Only qualified leads, visits and bookings show commercial value, so build reports that join WhatsApp data with CRM outcomes.

Set a Baseline Before You Change Anything

Measure your current response time, visit rate and bookings for a defined period, then make one change at a time and compare the same metrics over an equal period. Your own before-and-after numbers are more trustworthy than any industry benchmark.

Expert Tips for Real Estate Teams Using WhatsApp

  • Move off personal numbers first; the business should own buyer conversations
  • Write templates for the five messages you send most, and get them approved before launch day
  • Tag every lead with its source so you can compare portals, ads and QR codes on cost per qualified lead
  • Keep brochures short on chat; offer the full PDF only when asked
  • Set a rule that any buyer asking for a person reaches one within business hours
  • Review twenty real conversations every week to find confusing questions and outdated answers

How Zappio Helps Real Estate Teams on WhatsApp and Voice

Zappio is an AI voice calling platform that also automates WhatsApp. Its WhatsApp automation for business offering includes an AI agent that replies on WhatsApp around the clock, asks qualification questions, follows up with AI voice calls when chats go quiet and syncs conversations to CRMs such as HubSpot, Zoho CRM, Salesforce and LeadSquared, or to other systems through Zapier, REST APIs and webhooks. It also lists a shared team inbox, broadcasts to opted-in audiences, a template manager for Meta approval, drip sequences that stop when the customer replies, opt-in management and support for 20+ Indian languages. Businesses can keep using the WhatsApp Business App on the same number through coexistence.

On the voice side, AI lead qualification calls new enquiries, captures requirements and books visits, with outcomes written back to the lead record. Real estate teams can see the full workflow on the Zappio for real estate page. WhatsApp is billed per reply on top of Meta's own charges, which you pay to Meta directly; current rates are on the Zappio pricing page.

The useful question to bring to any evaluation, including ours, is where voice and WhatsApp each fit in your current process, and how you will measure the result against your baseline. Explore how Zappio can help your team qualify property leads and improve follow-up workflows, or book a Zappio demo to walk through a workflow with your own lead sources.

Frequently Asked Questions About WhatsApp for Real Estate

Real estate agents use WhatsApp to respond to property enquiries, share brochures, photos, videos and location pins, ask about location, budget and timeline, arrange and confirm site visits, follow up after visits and keep buyers updated after booking. It works best when every conversation is recorded in a CRM so the team can see what was discussed.

Yes. The free WhatsApp Business App suits individual brokers and small offices: it adds a business profile, catalogue, quick replies, labels and greeting and away messages. Brokerages and developers that need several agents on one number, automation and CRM integration usually need the WhatsApp Business Platform through a provider.

The WhatsApp Business App is a free phone app for manual messaging with basic tools. The WhatsApp Business Platform, accessed through Meta's Cloud API or a solution provider, connects WhatsApp to software, so it supports many agents, chatbot flows, CRM integration and business-initiated messages using Meta-approved templates. The Platform charges per delivered message by category.

Yes, when buyers start the conversation. Website chat buttons, click-to-WhatsApp ads, QR codes at sites and events, listing pages, social profiles and referrals all let interested buyers message you directly. Purchased lists and unsolicited bulk messages tend to cause blocks and reports and go against Meta's opt-in expectations.

Acknowledge the enquiry quickly, ask two questions at a time to understand requirements, share two or three matching options, confirm any site visit with date, time and address, send one reminder, ask for feedback after the visit and agree a follow-up interval with the buyer. Stop immediately if the buyer asks you to.

The WhatsApp Business App can send greeting and away messages and saved quick replies. Fuller automation, such as instant acknowledgements, qualification questions, lead assignment, visit reminders and CRM updates, needs the WhatsApp Business Platform through a provider or a custom integration, with a clear route to a human.

The WhatsApp Business Platform can integrate with a CRM through APIs, webhooks or a provider's built-in connectors, so chats, requirements and visit outcomes appear on the lead record. The standard WhatsApp Business App has no built-in CRM integration.

Yes. A common pattern is to use an AI voice agent for a qualification call where calling is appropriate and WhatsApp for written follow-ups such as property options, brochures and visit confirmations, with both channels updating the same CRM record so the buyer is not asked the same question twice.

Message only people who contacted you or clearly agreed to receive messages from your named business, agree a follow-up cadence with each buyer, stop sequences when a buyer replies, honour opt-outs across every tool, avoid purchased lists and track opt-out and block rates as a warning signal.

No. Meta charges per delivered message by category, and solution providers add their own fees. From 1 October 2026, service messages are charged beyond a free tier of 1,000 per month for each business phone number, and utility templates sent inside the customer service window are chargeable. Conversations started from click-to-WhatsApp ads get a free entry point window. Check Meta's current pricing page for rates.

Yes, through the WhatsApp Business Platform. Automated replies can be sent freely within the 24-hour customer service window after a buyer messages you. Outside that window, automated messages must use Meta-approved templates and should go only to buyers who opted in.

WhatsApp lets you offer visit slots, confirm the booking with date, time, address, location pin and site contact, send a reminder before the visit and let the buyer reschedule by simply replying. Recording the visit outcome in your CRM then triggers the right follow-up.

Making WhatsApp Work for Your Real Estate Business

WhatsApp for real estate works when it supports a sound sales process: permission first, quick and specific replies, a few questions at a time, every answer recorded, and serious buyers handed to a person who can help them decide. The Business App is enough for many individual brokers; teams that need shared access, automation and CRM integration need the Business Platform, along with the template, consent and pricing rules that come with it. Messaging should support human judgement and timely service, not replace them.
